Registration

ESSS 2026 will be held entirely in person in Okinawa. We look forward to welcoming all presenters and attendees to the venue. (There will be no hybrid or online sessions.)

Note to Authors

At least one author of each paper must register at the regular rate, not the student rate, by September 10 (AoE). One regular registration covers up to three papers. Failure to complete the registration and payment by the deadline will result in the paper being removed from the final program.

Regarding the posters, the presenter of each accepted poster must complete their registration (under any registration category). Please note that one registration covers only one poster. Failure to complete the registration and payment by the deadline, October 14, 2026 (AoE), will result in the poster being removed from the final program.

Registration and Payment

Registration is required for all participants of ESSS 2026, and registration should be performed online at Payvent.

The appropriate classification for registrations should be chosen based on your current status and registration date. If you need to change your registration category after completing your registration, please cancel your registration and then re-register. Please note that, in this case, a 6% refund processing fee will be charged to the participant.

The final registration deadline is October 14, 2026 (AoE).

All registrations include: plenary sessions, technical sessions, conference proceedings, coffee breaks, welcome reception.

*ESSS and ISITA 2026 will be held consecutively. To celebrate these joint academic events, we offer 30% discount to participants who register for both conferences by September 10 (AoE). If you wish to apply for the discount, please use the same email address when registering for both symposia. If you applied for a discount but did not register with ISITA 2026, you will be charged an additional fee. 

Cancellation Policy

Cancellations will be accepted until the application deadline, October 14, 2026 (AoE). In the event of cancellation, the collected participation fee will be refunded. However, a 6% refund processing fee will be charged to the participant. No refunds will be given for registration cancellations received on or after October 14, 2026 (AoE).

Use of Your Personal Information

Your personal information provided for registration is managed by the ESSS 2026 Organizing Committee, and your data will be used only for the purpose of this symposium, including in collaboration with ISITA 2026, and notifying you of upcoming symposia organized by ESS, IEICE. Your personal information may also be used and provided to relevant organizations as necessary for ESSS 2026 grant-related procedures, including confirmation of the number of participants from outside Okinawa Prefecture. Unless otherwise agreed by you or required by law, your personal information will not be disclosed to third parties except to those involved in the above purposes.

Accommodation

ESSS 2026 Organizing Committee does not arrange or provide recommendations for hotel accommodations. We kindly request that you make your own arrangements.

Visa

For information regarding visas, please visit the website of the Ministry of Foreign Affairs of Japan.

ESSS 2026 Organizing Committee can issue an invitation letter to any participant who is the author of an accepted paper or has paid the registration fee. To request an invitation letter, send an email to ess-symp-2026-reg@mail.ieice.org with the following information:

  • Delegate Name
  • Title (Dr., Prof., etc.)
  • Affiliation
  • Paper Number (for authors)
  • Paper Title (for authors)
  • Confirmation Number (for those who have paid the registration fee)

Applicants for invitation letters are encouraged to start the visa procedure as soon as possible, as the procedure may take substantial time, depending upon on your country/region. Please note that the invitation letter does not guarantee your qualification for a visa and your entrance to Japan.
